Office Manager – Service & Parts

The role

One person, the whole back office

NuTek imports and services heavy-duty European woodworking machinery — Ott edgebanders from Austria, KRC CNC routers, and Omaksan machining centers. We sell through a dealer network across the country and handle parts and service ourselves. Our reputation rests on getting a customer's machine back up fast, and that depends on the office running well.

This is that job. You'll take the calls, get the parts ordered and shipped, keep the invoicing straight, and coordinate the technicians in the field. You report directly to the owner. It's a small operation, which means no layers to work through and real ownership from day one — and it also means wearing a lot of hats.

Day to day

What you'll do

Own the phone line

Answer inbound calls and email from customers, dealers, and suppliers, and get each one to the right place — without escalating everything to the owner.

Coordinate service

Route service calls to our field technicians, coordinate their schedules and travel, and keep service documentation and machine history accurate.

Move parts

Take parts orders from customers, source them, and get them shipped. Process the shipping and import paperwork for incoming machines and parts.

Keep the books straight

Handle customer invoicing and billing, maintain records for machinery orders and technician training, and help onboard new hires.

Who we're looking for

You'll do well here if…

You've worked the office side of a distributor, dealer, or manufacturer — office administration, service coordination, or inside sales support.

You're comfortable owning a phone line: friendly, clear, and able to get information out of a frustrated customer without losing patience.

You're solid with spreadsheets and order and invoice entry. QuickBooks experience is a strong plus, and shipping, freight, or import paperwork experience is very welcome.

You're organized enough to track a dozen open parts orders and three technicians in the field at once, and you can figure things out without a procedure manual for every situation.

High school diploma required. An associate or bachelor's degree in business or administration is a plus, but experience matters more to us. Any exposure to industrial machinery, woodworking, or technical parts is a bonus.

What we offer

$25 per hour to start

Paid hourly, with overtime where it applies. There is room to grow from there — we'll talk about it in the interview.
